Terms of service

The agreement between us and your company when you use Meetboard.

Last updated 16 October 2026. This page is written in plain English. It is a working draft that has not yet been reviewed by a solicitor, so please read it as our honest description of how we operate and ask us if anything is unclear.

1. Who these terms are between

These terms are between Meetboard (“we”) and the business that opens a Meetboard account (“you”). By ticking the box when you ask for an account, or by using Meetboard, you agree to them on behalf of your business. You must be able to bind that business.

2. What Meetboard is

Meetboard is software for booking, dispatch, driver management, invoicing and record keeping for chauffeur and private hire businesses. We supply the software. We are not an operator, and we do not provide or arrange journeys. You are the operator of record for your own bookings, you hold your own licences, and you are responsible for complying with the licensing and other laws that apply to you.

3. Your account

  • We approve each request for an account and may decline one.
  • Keep your login details safe. You are responsible for what is done with your logins, including by people you invite.
  • Give us accurate details and keep them up to date.

4. Free trial, fees and cancelling

  • Each new company has a free trial of 14 days. At the end you choose a plan or your account is paused.
  • Plans are charged monthly in advance. Prices are shown on the pricing page and exclude tax (VAT where it applies), which we add where it applies.
  • You can cancel at any time from your billing page. You will not be charged again after cancelling, and your plan runs to the end of the period already paid for. We do not give refunds for part months unless the law says we must.
  • We may change our prices. We will tell you at least 30 days before a change affects you, and you can cancel before it does.
  • If a payment fails we will tell you and try again. If it still fails your account may be paused until it is paid. We will not delete your data for non-payment without warning you first.

5. Your data

  • The information you put into Meetboard is yours. We use it only to provide the service. Our terms for handling personal information on your behalf are on the data processing page, which forms part of these terms.
  • You are responsible for having a lawful reason to hold your customers' and drivers' information, and for telling them how you use it.
  • You can export your booking records, driver statements and invoices at any time, including after you cancel for a reasonable period.
  • Licensing records have a retention period that you choose. We will not delete a company's records before that period has run without your agreement.

6. How you may use it

You agree to follow our acceptable use rules.

7. Third-party services

Some features use services you connect with your own accounts, such as Stripe for card payments and Google for address search. Those services have their own terms and their own charges, which you pay to them. We are not responsible for them.

8. Availability and changes

We work hard to keep Meetboard running, but we cannot promise it will always be available or error-free. Please keep a way of working if it is unavailable, such as the daily job sheet email. We may improve, change or retire features. If we remove something you rely on we will give you reasonable notice.

9. Our responsibility

  • Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
  • Subject to that, we are not liable for loss of profit, loss of business, or indirect loss, and our total liability to you for anything arising from the service in any 12 months is limited to the fees you paid us in those 12 months.
  • Prices, distances and flight information shown by Meetboard are aids. You are responsible for checking them before you rely on them.

10. Ending the agreement

You can stop at any time. We may suspend or end your account if you seriously or repeatedly break these terms, if you do not pay, or if the law requires it. Where we can, we will warn you first and give you the chance to put things right and to export your records.

11. Changes to these terms

We may update these terms. If a change matters we will tell you by email at least 30 days before it applies. If you keep using Meetboard after that, you accept the new terms.

12. The law

These terms are governed by the law of England and Wales and the courts of England and Wales will decide any dispute, unless the law where you are says otherwise.
